User guide

Everything you need to run your shop with TPOS, step by step. Read "Getting started" first, then jump to what you need.

Getting started

Create your shop

  1. Open the website and go to Pricing.
  2. Choose a plan. The Free plan is enough to start; you can upgrade at any time.
  3. Fill in your business category, address, email and a password.
  4. Enter the code we send to your email. Your shop is created.

Install the app

Install TPOS from the Google Play Store (Android) or the App Store (iPhone). On the web, the menu also has a "Download Apk" link for Android phones without the Play Store.

Log in with the same email and password in the app and on the web. Both show the same shop and the same data.

Set up your shop in one click

A new shop starts empty. Quick setup adds the basics most Cameroonian shops need, in your language, so you can sell on day one. Nothing you already have is added twice, and you can rename or delete anything later.

  • Payment methods: Cash, MTN Mobile Money, Orange Money, Bank transfer and Cheque.
  • VAT: the standard 19.25 % rate.
  • Expense categories: rent, electricity (ENEO), water (CAMWATER), salaries, transport, phone and internet, taxes, repairs, supplies and other.
  • Income categories: services, mobile money commissions, rent received and other income.
  • Units: piece, kg, litre, pack, carton, bag, bottle and tin.
  • Products (optional): the ready-made list for your type of shop, without prices.
  1. Open Quick setup: in the app, it is the first card in More; on the web, click "Quick setup" on the dashboard banner or in Settings.
  2. Untick anything you do not want. Steps marked Done are already in place.
  3. Under "Product list", keep the list suggested for your business, pick another one, or choose not to add products.
  4. Tap Set up my shop. In a few seconds your shop is ready to sell.
In the appMore › Quick setup On the webSettings › Quick setup
Tip : After the quick setup: add your selling prices (Products), record the stock you have with a purchase, then make your first sale.

The setup checklist

On the app's Home screen, a checklist shows what is left to set up: add your products, add a staff login, connect DimplesPay for Mobile Money and open your online store. Each line opens the right screen.

Tip : The app is organised in four tabs: Home (today's figures), Sell, Sales (the list of past sales) and More (everything else, grouped as Money, Stock, People, Online, and Reports and tax).

Your dashboard

The dashboard is the first page on the web. It shows how the shop is doing without opening a report.

  • Sales and purchases: the total of the invoices for the month so far, and the total since you started.
  • Income and expenses: only what you recorded in Incomes and Expenses. The profit made on sales is not mixed in.
  • Customers and suppliers: how many you have.
  • The small arrows compare this month so far with the same days last month. Green is good news (more sales, fewer expenses or returns), red needs a look.
  • Profit and loss chart: your net profit for each month of the year, the same figure as the profit and loss statement.
  • Overall report: purchases, sales, income and expenses of the year you choose.
  • Low stock: products at or under their alert quantity, with what is left and the level that triggers the alert.
On the webDashboard
Tip : A product with no alert quantity never shows in Low stock. Set "Warn me when stock falls to" on the products you must not run out of.

Set up your shop

Business details

Your shop name, address, phone number and tax number appear on invoices and receipts. Update them in your profile and settings.

In the appMore › Settings On the webSettings › General Settings

Payment methods

List the ways customers pay you, for example Cash, MTN MoMo, Orange Money and Bank. They appear as buttons at checkout, and reports show the money received by each.

On the webPayment Type
Tip : Keep the word "Cash" (or "Espèces") in the name of your cash method: the cash register counts it as money in the drawer.

VAT

If you charge VAT, add the rate (for example 19.25 %) and choose it on sales that carry VAT.

In the appMore › VAT and tax On the webTax Setting

Staff logins and permissions

Give each employee their own login. Tick only what they need: sell, see the sales list, manage products, stock, purchases, the credit book, reports, staff and payroll. Every sale records who made it.

On the webSettings › User Role
Tip : Never share the owner's password. Employees with their own logins cannot see profits or delete what you do not allow.

Products

Start from a ready-made list

Instead of typing every product, start from a list made for your type of shop: grocery, bar and snack bar, restaurant, bakery, fresh food, butcher and fish, cosmetics, fashion and clothing, shoes, phones and electronics, hardware, stationery, or car wash. Products come with their category and unit; stock starts at 0.

  1. Open the ready-made lists. The list for your business category comes first, marked "For your business".
  2. Choose a list. Every product is ticked: untick what you do not sell, or untick a whole category at once.
  3. Add the selling price (and on the web the purchase price) of the products you know. You can leave prices empty and add them later.
  4. Tap Add to my products. Products you already have are skipped, so you can run it again with another list.
In the appProducts › menu › Ready-made lists On the webProducts › Ready-made lists
Tip : A product without a selling price shows in your list but cannot be put online until it has one. Record the stock you have with a purchase so your reports start right.

Sell services

Repairs, washing, haircuts, printing, tailoring, delivery: add each service you sell like a product, and choose "A service" at the top of the form. A service has no stock: it never runs out, sales never take from a stock, and it stays out of the stock list, stock value, low stock and expiry alerts, and purchases.

  1. Add a product and choose "A service" at the top. The stock fields disappear.
  2. Give it a name ("Screen replacement", "Full car wash"), a category and a selling price. In the purchase price, put what the service costs you (parts, products, labour) if you want to see its profit; otherwise leave 0.
  3. Sell it like any product: at the till, on a credit sale or in your online store. Returns and deleted sales never change a stock for it.

Reports show services apart: the profit and loss statement has a "Goods and services" part (sales and profit of each), and product performance has a Services tab with your best-selling services.

In the appProducts › + › A service On the webProducts › Add Product › A service
Tip : The ready-made lists already add repairs, washes, printing and tailoring as services.

Add a product

The form has four numbered parts, and every field explains what it is for under the box. Only the fields with a red star are required.

  1. What is the product: the name as customers know it (add the size, e.g. "Rice 5 kg"), the category, then the barcode (scan it, or keep the number TPOS suggests and print a label), the unit and the brand.
  2. Prices: enter what you pay the supplier for one unit, then either the selling price or your profit percentage. The other one is filled in for you, and a box shows what you earn on each unit sold. It turns red if the selling price is below the cost.
  3. Stock: the quantity you have today, and "Warn me when stock falls to": at that number you get a low stock alert. For food, medicine and cosmetics, add the expiry date.
  4. Photo (optional): it helps cashiers pick the right product and is shown in your online store. Then tap Save product.
In the appMore › Products On the webProducts › Add Product

VAT, margin and special prices

  • VAT: leave "No VAT" if you do not charge it. If you do, say whether your selling price already includes VAT (the customer pays exactly that price) or whether VAT is added at the till.
  • Profit %: depending on your settings it is a margin (the share of the selling price that is profit) or a markup (what you add on top of the cost). The form says which one you use.
  • Wholesale and dealer prices: used automatically when the customer is marked as a Wholesaler or a Dealer at the till.

Change a product

Open the product from the product list and choose Edit. The form is the same, filled in with what you saved. Past sales and reports keep the prices they were made at.

Tip : Change the stock quantity in Edit only to correct a count after checking the shelf. New goods from a supplier are recorded as a purchase, so stock and what you owe the supplier stay right.

Many products at once

Use Bulk Upload to import your products from an Excel file. Download the sample file first, fill it in, then upload it.

On the webProducts › Bulk Upload

Packs: carton, dozen, piece

If you buy by the carton and sell by the piece, add pack units to the product (for example 1 carton = 24 pieces). At the till you choose the pack, and stock is counted in pieces.

In the appMore › Pack units

Barcode labels

Print labels for products that have no barcode, then scan them at the till.

On the webProducts › Print Labels
Tip : Keep purchase prices up to date when your supplier changes prices. Each sale keeps the cost at the moment it was sold, so your profit stays right.

Selling

Make a sale in the app

  1. Tap Sell. A new sale opens for a walk-in customer.
  2. Tap the products (or scan them). Change the quantity if needed.
  3. Tap Checkout. Choose how the customer pays.
  4. For cash, tap a quick cash button (exact amount, or the note the customer gives you). TPOS shows the change to give back.
  5. Confirm. Then send the receipt on WhatsApp, print it, or start the next sale.

Customer, credit and discounts

To sell on credit, give loyalty points or put a name on the invoice, tap the customer field and choose (or add) the customer. A sale on credit needs a named customer.

Discounts, VAT, rounding and a note are under "More options" at checkout.

Sell on the web (POS)

On a computer, use the POS screen: search or click products, choose the customer and payment, and save. It works like the app.

On the webSales › POS

No internet?

Keep selling. Sales are saved on the phone and sent when the connection comes back. A bar shows how many sales are waiting. In settings you can choose to sync only on Wi-Fi to save your data bundle.

Receipts and printing

  • WhatsApp: sends the customer a link to their receipt.
  • Bluetooth printer: the app prints receipts on 58 mm (2-inch) or 80 mm (3-inch) thermal printers. Choose the paper size in the app's print settings.
  • Till receipt on the web: print a receipt sized for a 58 mm or 80 mm thermal printer from the sale.
  • PDF and A4 invoice: from the sale in the app, or from the sales list on the web.

Returns

Open the sale in the sales list and choose Return. Enter the quantity returned: the stock goes back up and the sale and the customer's balance are corrected.

Mobile Money (DimplesPay)

Connect your DimplesPay account to take MTN MoMo and Orange Money payments at the till.

  1. In the app, open the setup checklist line "Connect DimplesPay" (or the DimplesPay settings) and enter your account details.
  2. At checkout, choose Mobile Money and enter the customer's number.
  3. The customer confirms on their phone. The sale is marked paid on its own.
Tip : If the customer does not confirm, the sale stays unpaid. Do not hand over the goods until the payment shows as received.

Cash register and Z report

The cash register tells you how much cash should be in the drawer, so you can spot a shortage the same day.

  1. In the morning, open the register and count the cash already in the drawer (the opening float).
  2. Sell as usual. Cash sales, debts collected, income and expenses paid in cash are added up.
  3. In the evening, close the register: count the cash and enter the amount.
  4. The Z report shows the sales, each payment method, the expected cash and the difference.
In the appMore › Cash register On the webMoney › Cash register
Tip : A difference every day from the same cashier is a warning sign. Past Z reports stay in the list and can be printed.

Customers and the credit book

The credit book lists every customer who owes you money, how much, and since when.

  • Remind: sends a polite WhatsApp (or SMS) message with the amount due.
  • Credit limit: the most a customer may owe. A credit sale above it is refused.
  • Collect a payment: when the customer pays, record it in the Due List. Their balance goes down.
In the appMore › Credit book On the webMoney › Credit book, and Due List to collect
Tip : Look at customers owing for more than 30 days every week. The longer a debt waits, the harder it is to collect.

Purchases and suppliers

Record a purchase

When goods arrive, record the purchase: the supplier, the products, the quantities and the price paid. Stock goes up, and what you did not pay is added to what you owe the supplier.

In the appMore › Purchase On the webPurchases › Add Purchase

Order from a supplier

  1. Open Supplier orders and choose "Order what is running low": TPOS fills the order with products under their alert quantity.
  2. Check the quantities and prices, then send the order by WhatsApp.
  3. The supplier opens the link and confirms the order.
  4. When the goods arrive, choose Receive goods and enter what really arrived. A purchase is recorded and stock goes up.
In the appMore › Orders to suppliers On the webStock and branches › Supplier orders
↑ Back to top

Stock, branches and warehouses

Stock alerts

See at a glance what is out of stock, running low, expired or expiring soon, with the value of the stock concerned.

In the appMore › Stock alerts On the webStock and branches › Stock alerts

Several shops or a warehouse

  1. Add each extra shop or warehouse as a branch.
  2. Put each staff login in the branch where they work: their sales take stock from that branch.
  3. Move goods between places with a stock transfer. The total does not change; only where it is.
In the appMore › Branches and warehouses On the webStock and branches › Branches and stock / Stock transfers
Tip : Do a stock count regularly and correct the quantities. Differences that keep coming back point to losses or theft.

Income and expenses

Record every expense (rent, electricity, transport, salaries paid outside payroll) and any income that is not a sale. They are needed for a true profit.

In the appMore › Expense / Income On the webExpenses / Incomes
Tip : Use categories (Rent, Electricity, Transport...) so the profit and loss statement shows where your money goes.

Staff, attendance and payroll

Employees

Add each employee with their contract (CDI, CDD...), hire date, base salary, CNPS number and how they are paid. Link their app login so they can clock in and see their payslips.

Attendance and leave

Employees clock in and out from the app. You can record or correct a day, and approve or refuse leave requests. Set your working hours, working days and holidays once.

Monthly payroll

  1. Open Payroll and prepare the month. Salaries are worked out from contracts and attendance, with CNPS, IRPP, CAC, RAV, TDL and the employer charges.
  2. Read the lines "To check" (missing CNPS number, days not recorded...). Add bonuses or deductions where needed.
  3. Approve the payroll. Employees can then see their payslip in the app.
  4. When salaries are paid, choose Record as paid: the net salaries are recorded as an expense.
  5. Download the DIPE file for the CNPS and tax declaration, and print the payslips.

Salary advances given during the month are recorded as an expense and taken off the next payslip automatically.

Loyalty points

Turn on loyalty and choose how much a customer spends for 1 point and what 1 point is worth. Points are earned on named customers' sales and can be spent on a later purchase at checkout.

Online store and marketplace

Open your store

  1. Open Online store. Choose the address of your store (your link), your city and a short description.
  2. Choose how customers get their order: pickup at the shop, delivery (with its fee), or both.
  3. Choose how they pay: on delivery or pickup, and Mobile Money through DimplesPay if you connected it.
  4. Keep "Show my shop in the marketplace" on to appear on the TPOS Shops and Products pages. Turn it off for a private store that only opens from your link.
In the appMore › Online store On the webOnline › Online store

Choose the products to sell online

New products are not online until you switch them on, so you decide what the public sees. In the product list of the Online store page, switch on each product, or use "Put all priced products online" to do them all at once. Products without a selling price stay offline.

Tip : If the Shops page shows "No products online yet" for your shop, no product is switched on. Use "Put all priced products online".

What your customers see

  • They find your shop on the Shops page or in the marketplace, or open your link directly.
  • In the cart they can change quantities with − and + or remove an item. The cart warns them when they ask for more than you have, and the order is refused until they lower the quantity.
  • At checkout they give their name and phone number, choose pickup or delivery (the delivery fee is added to the total), then choose how to pay.
  • A cart with items from several shops makes one order per shop: each shop prepares and delivers its own order.

Handle online orders

New orders appear in Online orders. Call the customer to confirm, then move the order forward: confirmed, ready, completed. When it is completed it becomes an ordinary sale, so stock and reports stay right. An order paid by Mobile Money cannot be cancelled by the shop.

In the appMore › Online orders

Share your catalogue

Send your products and prices to customers on WhatsApp, with a link to your store.

In the appMore › Share catalogue

Refer and earn

Recommend TPOS to other businesses and earn a share of the first month they pay. The percentage is shown on the Refer and earn page.

  1. Open Refer and earn and copy your link or your code.
  2. Send it to shops you know, for example on WhatsApp.
  3. When a shop signs up with your link or types your code, then pays its first subscription, your commission is recorded.
  4. After a short checking period, TPOS pays you by Mobile Money or bank transfer. The page shows what is pending, confirmed and paid.
On the webOnline › Refer and earn

You do not need a shop to take part: anyone can join from the Affiliates page of the website and follow their earnings from a private link.

Reports: understand your figures

Profit and loss statement

This is the report to read every month. Choose the period, then read from top to bottom:

  • Gross sales: what you sold, before VAT.
  • Returns and discounts are taken off; delivery charged and rounding are added. The result is net sales.
  • Cost of goods sold: what the items sold cost you to buy.
  • Gross profit = net sales − cost of goods sold. The percentage is your margin.
  • Add other income, take off expenses: the last line is your net profit (or loss).

On the right you also see the sales received and left on credit, the VAT to pay (VAT collected minus VAT paid on purchases), your purchases, and the stock at the start and the end of the period.

On the webReports › Profit and loss statement

Product performance

Find your best-selling and least-selling items and categories, the most profitable items, the stock that is not selling, sales by cashier and by payment method. Every list can be downloaded as a spreadsheet.

On the webReports › Product performance
Tip : Stock that does not sell is money stuck on the shelf. Put it at the front, make a promotion, or order less of it next time.

Other reports

Sales, purchases, returns, income, expenses, VAT, customer and supplier balances and current stock each have their own report with filters and export.

Tax (DGI)

  1. Enter your tax number (NIU), trade register (RCCM), tax regime and tax office. They are printed on your invoices.
  2. Each month, download the sales journal: every sale with VAT and its control code, ready for your accountant or the tax office.
  3. Use "Check now" to confirm that no sale was changed or deleted after it was recorded.
In the appMore › Tax (DGI) On the webLoyalty and tax › Tax (DGI)

Subscription

Your plan and its end date show in the menu. A banner warns you before it ends. When a plan has expired you can still see your data, but you cannot record new sales or purchases until you renew.

Renew or upgrade from the Subscriptions page, by Mobile Money (DimplesPay or Flutterwave), card or manual payment, or through the App Store on iPhone.

Problems and good habits

Something is wrong

  • A sale does not appear on the web: the phone has not synced yet. Connect it to the internet (or Wi-Fi if you chose Wi-Fi only) and open the app.
  • Stock is wrong: check returns, transfers and purchases not recorded, then correct the quantity in Products.
  • Your online store shows no products: switch them on in Online store, and give them a selling price.
  • Forgot your password: use "Forgot Password?" on the login page.
  • Lost your phone: log in on a new phone. Your data is kept on our servers. Change your password if someone else could use the old phone.

Good habits

  • Open and close the register every day.
  • Record every expense the same day.
  • Give each employee their own login.
  • Read the profit and loss statement at the end of each month.
  • Check the credit book every week.
